Why this step matters

A dirty CSV becomes a duplicated pipeline

Most Indian real estate teams collect enquiries from four or five sources at once — portal listings, Meta and Google ads, WhatsApp, missed calls and the website form. Each source exports a different column layout and a different phone-number format. Importing those files straight into a CRM produces the same buyer three times under three spellings, and three agents then call them in the same afternoon.

Cleaning the file first is a small step that prevents an expensive impression. It also makes source attribution honest: once numbers are normalised you can actually tell whether the portal or the ad campaign delivered the enquiry.

1. Export from the source

Pull the raw CSV out of 99acres, MagicBricks, Housing.com, a Meta lead-ads download or your call-tracking panel. Do not hand-edit it first — the tool expects the original column names.

2. Normalise the columns

Names arrive in mixed case, phone numbers arrive with +91, 0 prefixes, spaces and hyphens, and emails arrive with stray whitespace. Each is reduced to one consistent format so the same person looks the same in every row.

3. Collapse the duplicates

The same buyer often enquires on two portals in the same week. Matching on the normalised phone number surfaces those repeats before they become two agents calling one person.

Frequently asked questions

Is my lead file uploaded anywhere?

No. The file is parsed in your browser and never leaves the device. Nothing is transmitted to SmartBuilds or stored on a server, which is why the tool works with no sign-up.

Why do Indian phone numbers need normalising before a CRM import?

The same mobile number is commonly written as +91 98765 43210, 09876543210, 919876543210 and 9876543210 across different portals. A CRM treats those as four different people unless they are reduced to one canonical form first.

How are duplicates decided?

Duplicates are matched on the normalised phone number, because that is the field buyers fill in most reliably. Names are too inconsistent to match on and email is frequently blank on portal enquiries.

Which row is kept when duplicates are found?

The first occurrence in the file is kept. Export from your source with the newest enquiries first if you want the most recent version of a record retained.

Does cleaning a CSV fix lead leakage?

No. It fixes the import. Leakage usually happens after the import — when a lead has no owner, no follow-up date, or no record of what was said. A cleaned file is the starting point, not the solution.
