Methodology
How the calculations work
A final lead-to-booking percentage cannot show where performance breaks down. This calculator compares each consecutive transition, the number of people lost, and the downstream value of a potential improvement.
Contacted leads ÷ total leadsQualified leads ÷ contacted leadsScheduled visits ÷ qualified leadsCompleted visits ÷ scheduled visitsNegotiations ÷ completed visitsBookings ÷ negotiationsWhat counts as a good conversion rate?
There is no reliable universal answer. Results vary by lead source, city, price point, project stage, property type, brand trust, sales-cycle length and data-quality standards.
Use your own comparable history as the benchmark. Compare the same project and lead source across consistent reporting periods, then investigate sustained changes rather than one unusual week.
Worked example
500 leads → 8 bookings
The example funnel converts 1.6% of leads. Its lowest stage rate is closing, but the largest volume loss occurs during qualification. Those are different problems, so the tool reports both instead of calling one stage universally “weak.”
Common reasons behind funnel leakage
Low contact rate
Review response speed, invalid or duplicate data, after-hours handling and the number of contact attempts.
Low qualification rate
Compare lead sources and campaign promises with the project’s actual price, location and buyer profile.
Low visit-booking rate
Review how agents communicate project fit, answer early objections and ask for a specific visit time.
Low visit attendance
Check confirmation calls, map sharing, calendar reminders, transport friction and pre-visit buyer intent.
Low negotiation rate
Capture visit feedback. Inventory, price, family approval or property mismatch may be stopping progression.
Low closing rate
Review financing, price objections, trust signals, follow-up consistency and competing properties.
Frequently asked questions
How is real-estate lead conversion calculated?
Divide completed bookings by total leads and multiply by 100. Analyse each stage separately to see where prospects are lost.
Should invalid leads be included?
Keep the reporting rule consistent. For campaign-quality analysis, include every lead the source delivered and separately track invalid or duplicate records.
What counts as a qualified property lead?
A practical definition is a buyer whose budget, preferred location, timeline and property requirements reasonably match the available inventory.
How do I calculate cost per booking?
Divide advertising spend for the reporting period by the number of bookings attributed to that spend.
What is a good site-visit attendance rate?
There is no universal rate. Compare the same project, source and sales cycle across historical periods, then investigate material changes.
Can brokers use this calculator?
Yes. Select brokerage percentage or fixed revenue per booking so the commercial metrics reflect how your brokerage earns.
Is my data uploaded?
